Job Description

OBJECTIVES:

Activities execution within Demand and Supply Chain team and ensure high service level in the following areas:

  • Demand Forecast and S&OP activities

  • Ancillaries and Kits’ demand planning

  • Products procurement and replenishment

  • Collaboration with manufacturing sites and 3rd party suppliers

  • Inventory management

  • Material master data management

  • New Products Launches

  • Warehousing and Distribution Operations

  • Monitoring of transactions flow in the systems

  • Reporting related to above operations

Participate in projects and cross functional continues improvement initiatives e.g., operations optimization, integration and harmonization activities, systems implementation and/or enhancement etc.

Building a relationship and effective collaboration with suppliers, planners, 3rd party logistic supplier and internal stakeholders, incl. relationship with all the departments involved in products sale and distribution such as business functions, customer and sales operations, quality, regulatory, finance.

ACCOUNTABILITIES:

Ensure products availability to respond to business plans and customers/patients’ needs:

  • S&OP process coordination – Sales and Operations Planning, including:

  • Preparing and conducting regular S&OP meetings
  • Analysis of key performance indicators KPI and recommendations required actions to be taken to achieve indicated results
  • Coordinate demand forecast operations and support adequate production planning by cooperation with Business in the frame of achieving targeted forecast accuracy level and reliable data providing to planners

  • Ensure demand planning of ancillaries aligned to business and patients’ needs including regular orders placing to external suppliers, processing invoices and ancillaries’ purchase prices verification and update

  • Secure timely replenishment of products and indication of the urgency of supply releases

  • Maintain optimal inventory of products at local warehouse, also by monitoring of products transfers from RDCs in order to ensure uninterrupted deliveries to customers and patients and at the same time avoid overstock leading to products discarding.

  • Close monitoring of the usage of warehouse capacity in particular zones

  • Effective collaboration with suppliers, planners and distribution center representatives

Support new products launches in the area of supply chain

  • Execute relevant operations in the frame of supply chain activities in order to ensure a new product is available on targeted time of introduction to the local market

Logistics operations supervise and ensure the activities are compliant with relevant regulations

  • Supervise warehouse and distribution operations in collaboration with 3rd party logistic partner to ensure business continuation and timely deliveries to customers and patients

  • Supervise warehousing and distribution documentation within scope of responsibility in the way it is accurate and complete evidencing daily operations, and archived in line with requirements

  • Maintain close collaboration with 3rd party logistic partner

Supervise transactions in ERP system in order to maintain smooth operations and business continuity:

  • Manage Master Data related to SC e.g., materials, suppliers

  • Maintain the role of ERP Key User in SCM area

  • Oversee daily transactions and interface

  • Secure issues resolving in order to re-establish operations continuation in the fastest manner

Complaints and returns handling:

  • Logistics complaints handling and complaints database update and reconciliation as necessary in the scope of responsibility

  • Investigation of root cause of logistics complaints and provide results along with description

  • Monitor returns receipt from the customers and handle returns to the factory

Reporting of operations and transactions in the area of demand and supply chain:

  • Ensure timely and accurate execution of statutory reports to MoH such as ZSMOPL

  • Data verification within global reporting

  • Products availability analysis and projection

  • Monitoring the volume of operations

  • Monitoring and clarifying discrepancies in the area of key performance indicators achieved by logistics operator

  • Other reports and analysis as appropriate etc.

Strengthen relationship with all departments and maintain good collaboration in the respective areas:

  • Warehouse, transportation, customer and sales, home care, tenders, quality, RA, finance, trade compliance, commercial etc.

Compliance with procedures and regulations of the local market

  • Good distribution practice of pharmaceutical products and pharmaceutical law

  • Good documentation practice and quality compliance

  • Other regulations as relevant

Participate in projects and cross functional continues improvement initiatives e.g., operations optimization, integration and harmonization activities, systems implementation etc.

Other tasks relating to the position, assigned by supervisor

EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:

  • Master or Bachelor education (logistic or related is welcome)

  • Experience in multi-country, dynamic environment, in a similar position, at least 2 years

  • Knowledge of demand planning process and inventory management

  • Good knowledge of demand planning systems

  • Collaboration with 3PL partners

  • Advanced knowledge of SAP and Microsoft Excel

  • Fluent communication skills of spoken and written English

  • Ability to work in a team, build relationships and good work organization

  • Ability to analytical thinking, clearly formulate thoughts and proper understanding of business needs
